WhatsApp templates and campaigns

Reach many leads at once with messages Meta has approved — offers, reminders, updates — and see who read and replied.

Templates

WhatsApp only allows business-started messages that use a template approved by Meta. Create them in WA Campaigns → Templates:

Name the template, choose a category — Marketing (offers, updates), Utility (orders, reminders) or Authentication (one-time codes) — and a language.

Write the body. Use {{1}}, {{2}} for parts that change per person, like their name.

Optionally add a header (text, image, video or document) and buttons. For media headers, upload a sample file — Meta needs it for review.

Submit. Status shows Pending until Meta decides — usually minutes, sometimes up to a day — then Approved or Rejected.

Create a campaign

Go to WA Campaigns → New campaign and pick an approved template.

Fill in the variables — a fixed value or a lead field such as name.

Choose the audience (below) and check the recipient count.

Send now, or schedule it for a date and time. Scheduled campaigns launch automatically.
Note: Only admins and managers (or roles given the campaigns permission) can create and send campaigns.

Choosing the audience

All leadsEveryone with a phone number.

Lead sourceFor example, only Meta Ads leads.
OwnerLeads belonging to particular teammates.
SegmentA saved filter from the Leads page.
Selected leadsHand-picked leads.

People who opted out or are blocked are skipped automatically.

Tracking results

Each campaign shows a funnel — audience, sent, delivered, read, replied and failed — with the reason for each failure. Replies land in the WA Inbox like any other chat, so your team can pick them up immediately.

Good practice

  • Only message people who gave you their number and expect to hear from you — Meta lowers your quality rating (and sending limits) when many recipients block or report you.
  • Use Utility templates for reminders and updates; Marketing for offers.
  • Start with a small segment, check the read and reply rates, then widen.

Common issues

Template rejected

Meta's reason is shown next to it. Common causes: variables at the very start or end, misleading wording, or a missing sample for media headers. Edit and resubmit.

Many messages failed

Check the failure reason. “Recipient not on WhatsApp” can't be fixed; spending-limit or quality errors are settled in your Meta Business Manager.
